What is SharePoint?

SharePoint is a platform that allows you to create websites for a variety of uses such as an Intranet (users inside the organization), Extranet (users outside the organization like clients or providers), publication, collaboration, communication, employee portal, ECM (Enterprise Content Management), service integration, workflows, etc… in short, it is so versatile it can be used to solve a wide range of requirements over all types of organizations and sectors.

SharePoint Online - an integral part of Office 365

One of the most important elements of Office 365, also available as a stand-alone option with two special plans: SharePoint Online plan 1 and plan 2.

The star platform for Microsoft over the last decade now available in its most recent version with monthly updates to give the users, managers and developers a wider range of functionality, control and extensibility than ever before.

On-premise
Many organizations are already using SharePoint on their own servers and others prefer to keep their data close – the on-premise version of SharePoint, now in its SharePoint 2016 evolution keeps growing on previous versions incorporating new functionality initially available in SharePoint Online with the new Feature Packs.

Organize

To be able to find information it is absolutely necessary to have it organized in a logical and clear structure. SharePoint allows the users to create this structure made up of sites, subsites, libraries and lists of many different types to fit the information to be stored: contacts, calendars, tasks, links, questionnaires, discussion panels, etc.

It’s just as easy to modify the structure to change as the organization changes. Users can move through this structure with a simple and customizable navigation system. Accessing SharePoint from your web browser of choice (all modern web browsers are supported) you can save your most frequently visited pages in your favourites just like any other web site.

SharePoint also offers advanced concepts to organize information like content types, document sets and metadata – additional fields of data to help classify, filter and group information and files.

Discover

SharePoint helps you find the information or people you are looking for. The navigation lets you get quickly to the page desired. But if you don’t know where the information you are looking for is stored you can depend on the powerful search engine based on the same technologies used in the Internet search engine Bing to show a list of search results which you can further refine by various different concepts such as author, file type, etc…

SharePoint can also notify you when a new document has been saved in a library you use, when someone modifies a report or whatever type of change you want to monitor and the alerts can be immediate, daily or weekly summaries as you need.

Manage

Often the information you manage has processes associated, restrictions on who can see and edit it, legal requirements to be available for a certain amount of time or deleted after a certain period. Maybe you need to save versions of your documents or have a document approved by a manager before it can be published for the other users. SharePoint can do all these functions and more.

Management from the IT department’s point-of-view is simplified with an administration center which allows the admin to control the global aspects of the environment such as access, the search engine, connectivity with other systems, etc…
Customizable reports allow the admins to see how SharePoint is being used and to take decisions to improve the user experience.

Share

It’s in the name – SharePoint is principally oriented to sharing information and documents with other users. You can control who can see, edit, delete and many other types of permissions to ensure the information is shared securely. To make applying permissions easier you can apply permissions to groups instead of individual users and later add or remove users to the groups to give them access, saving a considerable amount of time.

Apart from the users in the organization you can also share with other people outside, sending an invitation directly from SharePoint and at no additional cost. All of a sudden your intranet has also become an extranet without having to make a single change.

Connect

Social networks allow us to maintain contact with people we don’t see every day and SharePoint allows us to follow people and be informed on what they are doing and help unify geographically disperse teams. The Search engine can help us find people with certain skills or knowledge through their personal profiles.

Inside SharePoint sites we have discussion lists and news feeds where anyone can post a quick message and get feedback from others. Libraries and lists can be configured to allow ‘likes’ or classification from 1 to 5 stars to help others find the right information first time.
